Outdoors, or after dark

Most events are either outdoors in daylight or indoors after dark, and they are different jobs.

An outdoor daytime event is straightforward until the sun is high, at which point the harsh light and deep shade make everything difficult.

Scheduling the parts that matter — the speeches, the presentation, the group photograph — away from the middle of the day helps considerably.

Where that is not possible, shade is the answer and it is worth deciding where the important moments happen rather than letting them land wherever.

Evening events have the opposite issue: whatever lighting the venue has is what there is, and it is rarely designed for photographing people.

That is handled and it is much easier when known in advance, which is the reason to tell us the venue and the time rather than only the date.

Outdoor events after dark are the hardest of the three, and they are worth mentioning specifically so we arrive equipped.

Where an event moves between indoors and outdoors during the evening, it is worth knowing the running order.

Each transition is a change in light, and knowing when they happen means being set up for the next one rather than adapting after it has started.

That matters most around a presentation or a cutting, which tend to happen exactly at those transitions.

It is also worth considering whether any outdoor part is scheduled for the hardest hour of the day.

Where it is, moving it by even an hour improves the photographs considerably and usually costs nothing organisationally.

It is worth asking whoever is scheduling, because they generally have latitude they have not thought to use.
