When somebody else designed the room
Find out when the setup will actually be finished, not when the party starts. Those are usually two different times and the first one is when we should arrive.
List the details somebody agonised over — the cake table, the name board, the flowers. Those are what the person who planned it looks for first.
If there is a planner, send their running order. Working to a schedule somebody built is easier than improvising alongside it.

Yes, and it is the reason to have us arrive early. The setup is only intact for about twenty minutes and it is usually the biggest piece of work anyone has done.
We have a planner and a decorator.
Tell us who they are and send their running order if there is one. Working to it beats improvising, and they generally want images too.
