Most events have a concentrated stretch where everything worth photographing happens, and coverage weighted to that is better than coverage spread thinly across the whole thing.

It is worth asking what a photographer needs from an organiser during the event itself.
Almost nothing, beyond being told when something is about to happen. Two minutes of warning before a presentation is worth more than any amount of advance planning.
Committees arranging this for the first time frequently over-prepare documents and under-communicate on the night.
It is also worth knowing that not every part of an event needs covering.
Speeches and prize-givings are important and repetitive; ten minutes of each is usually plenty, and the rest of the time is better spent on people.
