Nobody is there the whole time

At most events, very few people are present for the entire thing.

People arrive late, leave early, step outside, or come only for the part that concerns them. The full gathering exists briefly if at all.

Which means any photograph requiring a specific person has to be taken when that person is there, and that is information the organisers have and the photographer does not.

The practical fix is a short list: who must appear, and roughly when each is expected.

It is also worth identifying anyone who will be present only briefly — a guest of honour, someone presenting, somebody who has travelled for one segment.

Those are the frames most likely to be missed and the ones most likely to be asked for afterwards.

It is worth being specific about the difference between people who should be photographed and people who will be.

Organisers, speakers and anyone being thanked will be photographed anyway. The person who quietly made it happen usually will not, and is the one asked about afterwards.

Naming two or three of those is worth more than any amount of general instruction.

It is also worth agreeing how long we stay relative to the schedule.

Events overrun, and coverage that ends at the booked hour frequently ends ten minutes before the part everybody remembers.

Either extend the booking or tell us what the last thing worth photographing is, and we will plan around it.

It is worth confirming whether the schedule on paper is the schedule anyone intends to follow.

Frequently it is not, and knowing that in advance is more useful than being handed a document.
