Some projects deserve documenting over time

A single completion shoot answers one question: what does the finished building look like. Documenting a project over its life answers three, for three different audiences.

Construction shows what was built and how, which matters to the practice, the contractor and anyone assessing capability. Completion shows the architecture. Occupation shows whether it works — which is the only one that can be tested rather than argued.

Those three sets have different lifespans too. Construction images are most useful while the project is live and in the years immediately after. The completion set works for as long as the practice does. In-use frames age fastest and are the most persuasive while they are current.

Progress documentation from fixed positions

Periodic visits during construction are most useful when they are taken from the same positions each time. The same frame at foundation, at frame, at cladding and at completion produces a sequence that reads as one process rather than as unrelated site photographs.

Those positions are established on the first visit and recorded so they can be returned to precisely. It is a small discipline and it is the whole value of progress documentation.

How often depends on the programme and on which stages actually matter for the building — a structure with an unusual frame deserves more attention during that phase than during fit-out.

Site visits, safety and access

Construction sites require arranging: contractor permission, induction where the site demands it, appropriate protective equipment, and someone who knows we are coming.

None of that is difficult and all of it takes longer at short notice. Where progress documentation is planned from the start, it can be built into the site arrangements rather than negotiated visit by visit.

Weather and programme both interfere, so progress visits work best as a flexible arrangement around agreed stages rather than as fixed dates in a calendar. A slab pour that slips by a week should move the visit, not lose it.

The completion set

Once the building is finished it gets the full architectural set — elevations at the right hour, the approach, the interiors, the circulation, the details, and dusk where it suits the building.

This is a distinct piece of work from the progress visits, planned and quoted as its own thing, so it is worth agreeing at the outset whether both are wanted or only one.

The building in use, which is the real test

A building photographed empty is a proposition. A building photographed occupied is evidence.

In-use frames are usually made some months after handover, once the building has been lived in or worked in long enough to have settled. They show whether the circulation works, whether the spaces are used the way they were meant to be, and whether the light does what it was supposed to.

Occupants have to agree to appear, so those visits need arranging with whoever now runs the building. It is worth the trouble: for most practices these are the frames that persuade the next client.
